Comprehensive Logistics & Service Guide For Artisans

Festival Period: August 27th – September 3rd 2026

Objective: This document outlines the formal terms, conditions, and logistical arrangements provided by the Organizing Committee (OC) to ensure a high-standard experience for all participating artisans.

The Organizing Committee (OC) provides comprehensive support to artisans in completing all necessary legal documentation to ensure lawful entry into Vietnam.

  • Official Invitation Letter: Upon confirmation of participation and receipt of a passport copy, the OC will issue an Official Invitation Letter. This document is to be submitted to the Embassy or Consulate of Vietnam in the artisan’s country of residence to support the application for a business visa (DN) or event visa.
  • Administrative Assistance: In cases where the artisan resides in a country without a Vietnamese diplomatic mission, or where the visa application requires additional security clearance from the Vietnam Immigration Department, the OC will act as the focal point to assist in obtaining an official visa approval letter for visa issuance upon arrival at the international airport.
  • Responsibility of the Artisan: The artisan is responsible for proactively submitting the visa application at least 10 days prior to the departure date. All visa-related costs (including visa stamping fees at the Embassy/Consulate or at the airport) shall be borne by the artisan, unless otherwise agreed in a separate written agreement.

To protect the integrity of the artworks and ensure compliance with Vietnamese Law, the following protocols for goods importation must be followed:

  • Customs Brokerage Support: The OC provides administrative assistance for the temporary importation of exhibition materials. This includes guidance on "Temporary Admission" (ATA Carnet or equivalent) to ensure goods can enter and exit Vietnam without incurring standard import duties.
  • Mandatory Documentation: Artisans must submit a Detailed Packing List and Commercial Invoice to the OC no later than 21 days before arrival. This document must include:
    • Item description and material composition.
    • Quantity and weight.
    • Estimated customs value (for insurance and declaration purposes).
    • Photographs of high-value or complex items.
  • Prohibited Items: Artisans must strictly adhere to Vietnamese regulations regarding prohibited items (e.g., certain biological materials, antiques requiring special permits, or hazardous chemicals). The OC reserves the right to refuse assistance for items not declared in advance.

The OC is committed to providing a secure and comfortable environment for all artisans during their stay.

  • Accommodation Standards:
    • Artisans will be hosted at premium hotels selected and vetted by the OC for proximity to the venue and quality of service.
    • Room Configuration: The standard arrangement is a shared twin room (two separate beds) with one other participating artisan of the same gender.
    • Single Occupancy: Requests for private rooms are subject to availability and will incur a supplemental "Single Room Upgrade" fee, to be borne by the artisan.
  • Full-Board Catering:
    • The OC provides three meals per day (Breakfast at the hotel; Lunch and Dinner either at the venue or designated restaurants).
    • Dietary Requirements: Artisans must notify the OC of any specific allergies or religious dietary restrictions (Halal, Kosher, Vegan) at least 14 days prior to arrival.
  • Transportation Logistics:
    • Airport Concierge: A dedicated pickup service will be arranged based on the artisan's flight itinerary. Artisans must provide their flight details (Flight Number and ETA) at least 7 days before departure.
    • Venue Shuttle: A scheduled shuttle service will operate daily between the hotel and the exhibition fairground. The OC is not responsible for transportation costs incurred outside of these scheduled services.

The exhibition space is designed to showcase craftsmanship in a professional and culturally appreciative manner.

  • Standard Artisan Booths:
    • A standard-sized booth (typically 2.5m x 2.5m) equipped with basic lighting, one table, two chairs, and a fascia board with the artisan's name is provided free of charge.
    • Any additional furniture, specialized lighting, or heavy-duty power requirements must be requested in advance and may incur additional rental costs.
  • National Pavilions (Scale & Design):
    • For delegations representing a specific country or large-scale collective, the OC offers a "National Pavilion" format.
    • Design & Construction: The OC will provide a list of certified exhibition contractors to ensure safety and aesthetic standards. If the pavilion

Insurance:While the OC provides general security at the venue, artisans are strongly encouraged to obtain personal travel and property insurance for their artworks. The OC is not liable for loss or damage caused by third parties.

Compliance: Artisans must abide by the venue's safety regulations, including fire safety and operational hours.

Communication: All formal correspondence must be conducted via the OC’s official email.
